# AI agent or workflow automation?

Prefer a defined workflow when the trigger, fields, and next steps are stable. Consider an AI agent when the task involves interpreting varied source material and preparing a result for review. Many systems combine both approaches; choose which decisions should be fixed and which need interpretation.

## What you are working toward

A task boundary with explicit steps, judgment, and review.

## Start with

- One real process described from trigger to final output

- Known exceptions and unavailable-source behavior

- An owner for approvals and failed runs

## Write down what is predictable

A form submission with known fields may need validation, routing, and a fixed notification. A client email with attachments may first need interpretation: which engagement it belongs to, what changed, and what is missing.

n8n documents workflows as connected nodes that automate a process. This does not mean workflow platforms cannot use AI. Equally, an Agent still depends on selected tools, credentials, and explicit instructions; a goal does not grant access.

## Choose how each stage should behave

| Stage | Defined workflow is useful for | Agent reasoning is useful for |
| --- | --- | --- |
| Input | Required fields and validation rules. | Interpreting varied notes and documents. |
| Processing | Known transformations and routing. | Comparing evidence and drafting explanations. |
| Review | A recorded approval step. | A draft with sources and unresolved questions. |
| Failure | An explicit retry or exception path. | Explaining what is missing before continuing. |

## Try one messy request

Use a fictional supplier update containing a changed delivery date, an old attachment, and no purchase-order number. First define the required output: a change brief with evidence and an unresolved identifier.

Ask an Agent to prepare the brief without updating records. Then define a separate, approved handoff into the system of record. Do not assume a published integration exists between your chosen products; verify the connection before designing around it.

## Use Clanker for the interpretation and saved work

A Clanker Project can hold the source packet and instructions, with an Agent preparing a file you inspect in Preview. Once one run works, Loops or Schedules can repeat supported work. Email-triggered tasks require eligible account access and configured sender rules.

A Schedule provides timing, not a guarantee of fresh data or successful completion. Define what happens when an input is absent, and review the run history and credit usage. For a strict transaction flow with many fixed app mappings, test an automation platform against those exact requirements.

## Evaluate an exception before scaling

Test an ordinary input, a missing field, and a source that contradicts another source. The result should keep those differences visible. Decide which stages may retry safely and which must be reconciled before another attempt, especially after an uncertain external change.

## Try this prompt

Copy into a Workspace Session. Opening Workspace does not send it automatically.

```text
Read this fictional supplier update and the older attachment. Save a change brief with the new date, conflicting evidence, and missing purchase-order number. Do not change business records or contact anyone. Explain what a reviewer must confirm before any downstream action.
```

## Before using the result

- The fixed steps and interpretive steps have owners.

- Missing data produces a visible exception.

- An uncertain external action is reconciled before retrying.

## Common questions

### Can an AI agent replace all my automations?

Do not assume it should. Keep stable validation and transaction steps where they already work. Trial an Agent on the parts that require reading varied inputs, comparing evidence, or drafting a result.

### Is a Schedule the same as an app integration?

No. A Schedule starts a configured task at chosen times. Reading or changing an external system still requires a supported tool, the right connection, and permission.

### Will the example prompt send supplier messages?

The prompt asks only for a saved change brief and explicitly excludes sending. Review the Agent’s selected tools and approval settings as well as its written instructions.
