A practical Workspace guide

Keep the result and the context needed to trust it.

Keep deliverable files with their Project, bookmark useful replies, and use Archive → Wiki for lasting knowledge with source links. Put repeatable methods in instructions or an Agent. Verify the saved result and its source context before relying on it in another Session.

Decide whether you are saving an artifact or a method

A finished report, a useful answer, a lasting finding, and a repeatable procedure are different things. They need different context when you return to them. The report needs its inputs and reporting period; the finding needs source links and qualifications; the procedure needs an example and a rule for handling missing information.

Make that distinction before copying everything into one long note. A Project keeps related files, instructions, and work together. A Session records the conversation where the work happened. An Agent carries reusable instructions and capabilities. You can use these together without expecting any one of them to replace every other form of context.

Verify the finished file, not only the final reply

Open the Project’s Files tab or General → Files and locate the requested output. In a Session, use Preview and select the file. Review the full artifact with page, sheet, or slide controls where available. Check later pages and tables, not only the first screen or the conversation’s summary.

Confirm that the file contains the last revision you approved and that its name distinguishes it from an earlier draft. Download it when you need a copy outside Workspace. A message saying “saved” is a reason to inspect the artifact, not a substitute for opening it. If the file is missing, resolve that specific saving step.

Store a fictional supplier review in useful forms

Suppose Cedar Studio has completed a supplier comparison. The final brief, a particularly helpful explanation, the current recommendation, and the comparison method each have a different reuse pattern. This fictional example maps those needs to Workspace surfaces and the context you should retain.

The choices are working practices rather than automatic promotion rules. Saving a reply does not automatically create a Wiki article or configure an Agent. Use the relevant surface intentionally and inspect what was saved. Keep a provisional recommendation tied to the proposal versions that supported it.

Keep a finding attached to its evidence

For lasting knowledge, save the explanation and follow its source links when revisiting it. Record which parts are stable and which depend on current conditions. A historical reason for a decision may remain useful after the recommended vendor’s pricing changes; the price itself needs a fresh check.

Avoid giving an old answer a new review date merely because you opened or copied it. If new evidence changes the finding, state what changed and which earlier conclusion it replaces. Bookmarks help you return to a reply, but the surrounding conversation may still be necessary to understand a qualification or unresolved question.

Reuse the method without freezing old facts

If the work repeats, extract the steps and acceptance criteria into Project instructions or a custom Agent. Keep the current client data and temporary deadlines in the relevant Project or Session. A reusable report method should explain how to handle dates, not permanently embed the dates from its first example.

Test the method on a fresh, small input before relying on it. The next dataset may have different columns, the next proposal may omit a required term, or the next reporting period may contain unresolved work. Preserve the behavior that makes uncertainty visible instead of treating a successful earlier run as proof that all future inputs will fit.

Resume with an explicit refresh decision

In the next Session, name the result to reuse and ask which sources it depends on. Supply any new inputs and identify what should remain unchanged. If a Google file was copied into a Project, request and verify a fresh copy when updates are required; the earlier copy does not synchronize automatically.

Check the revised output and retain enough context to explain why it differs. If the goal is to share the result, review its contents and use the appropriate sharing path separately. Preservation and publication are different decisions. A well-kept result should help the next person reproduce the reasoning, including the points that still need a human decision.

The experimental Google connection lets you choose accessible files in External Apps, create or edit Docs and Sheets from a Session, and save copies to a Project. Saving a copy is not automatic live sync; request a fresh copy when you need updates.

Can I make my own Agent and share it?

Yes. Describe the job in plain English, then customize the Agent’s personality, instructions, knowledge, skills, and tools. Test it privately in Workspace. When it is ready, create a private link so someone can sign in and add a copy, or review and publish a separate version to the Agent Marketplace.
