Prepare an Employee Onboarding Plan with AI in Workspace

Use approved role documents and internal procedures to prepare an employee onboarding plan in Workspace. Track setup, orientation, owners, and unresolved dates.

An employee's first week brings several practical questions: which documents should they read, who can help, what needs setup, and what can they try once access is ready? Those answers often live in different checklists and messages.

Use Clanker Workspace to assemble a role-specific onboarding plan from approved material. The result can give the new colleague a readable introduction and give the manager a separate setup checklist.

Start with the role and current procedures

Create an onboarding Project containing the role description, team guide, approved setup procedure, and any confirmed schedule. Use only the material needed for the task. You can start the first trial with a fictional role and sample process.

Ask the Agent to name its inputs and their versions. If two guides disagree about the software a role uses, resolve the difference before calling the plan final. The Project file guide helps keep current and historical instructions distinguishable.

A saved onboarding plan organizes work. Account creation, invitations, and access approval still follow the team's actual process and responsible owners.

Try an operations-coordinator example

This fictional packet contains the following facts:

Role: operations coordinator.
Manager: Maya. Buddy: Ravi.
Team overview and reporting guide are approved for new staff.
Dashboard access has been requested from the administrator.
The introduction meeting is proposed for Monday at 10:00;
the date and timezone have not been confirmed.
Practice task: prepare an update from fictional weekly notes.
Maya reviews the first practice result.

Ask:

Prepare an onboarding plan from this fictional packet. Separate orientation, access-dependent work, introductions, and the first practice task. Name the owner where the source does. Keep the meeting unscheduled until its date and timezone are confirmed. Treat requested dashboard access as pending. Save a new-colleague guide and a manager checklist for review. Do not create accounts, invite users, or schedule meetings.

Two files can serve the two audiences. The employee guide explains where to start; the manager checklist records what needs preparation and confirmation.

Check readiness before assigning the first task

The example should produce these distinctions:

Part of the plan Expected treatment
Team overview and reporting guide Ready for orientation using the approved versions.
Dashboard task Depends on confirmed access.
Introduction meeting Needs a date and timezone before scheduling.
Practice update Uses fictional notes and goes to Maya for review.

Open both saved files. Confirm that Ravi remains the buddy and Maya the reviewer. If the source has no owner for a setup task, leave that assignment as a question for the manager.

The first Workspace task supplies a notes-to-file practice exercise. It lets the colleague learn Projects, Sessions, and previews without needing access to operational systems first.

Make the plan easy to reuse

Keep the role's stable orientation method in an Agent or Skill. Store the new colleague's confirmed dates and current setup status in the appropriate Project. This avoids copying one person's temporary schedule into a reusable role.

Review the files before sharing and choose access for the intended audience. A manager checklist can contain preparation notes that do not belong in the colleague's version. Use the actual recipient experience to check that the reviewed guide opens.

When the first onboarding is complete, note which instructions caused confusion and update the approved procedure. The next plan should reflect the process you have improved, with its own dates and setup evidence.
