Keep the whole client-work cycle in view

Start with the inquiry. Add it to the client Project with your service brief. Ask for the request, relevant approved facts, missing information and a reply draft. Keep each inquiry ID with its next step so the owner can work through the queue.

Prepare the proposal from approved service information. Ask for the scope, deliverables, itemized prices, assumptions and questions in a saved document. Shape the draft and agree the commercial details before treating it as approved work.

Carry the agreed scope into delivery. Save the approved version, then prepare a delivery brief with the goals, dependencies, owner and next action. Use Planner to keep the task and reviewed deliverable together.

Bring the latest delivery notes back into the same Project. Prepare an update with progress, blockers, decisions and next steps. Review the saved file, choose the version to share, and keep the current context ready for the next cycle.

Open the examples before you bring your own client work

The fictional Studio inquiry packet includes four requests. Q02 asks for two discovery workshops: at €250 each, the reply draft and tracker show €500 excluding tax and leave payment terms for confirmation. Q01 has no agreed delivery date, Q03 needs scope review and Q04’s translation request is outside the approved catalog. Open the editable replies and tracker to inspect those decisions.

The separate Cedar Studio proposal starter illustrates a broader scope: two workshops (€500), a delivery brief (€350) and a handoff meeting (€150), totaling €1,000 excluding tax. Download the inquiry and approved service list as source inputs, and the starter for its prompt and authored proposal excerpt. These fictional illustrations show the draft structure, arithmetic and review points; they are not a recorded end-to-end run or customer result.

Give your business a reusable delivery specialist

Start with the Client Delivery Assistant role kit, then adapt the Agent instructions to your service structure, terminology, source rules and review checklist. Select the Tools it needs and test a task you can judge.

Keep the reusable method in the Agent and the client’s current facts in the relevant Project. A proposal format, delivery checklist or reporting method can serve the next job while its scope and source files remain explicit.

Work directly in Clanker or bring your assistant

Use Workspace in your browser for Projects, Sessions, saved documents and Agents. If you prefer an external assistant, choose its documented connection, authorize the tool permissions needed for the task and select the Project as working context. Client availability, account eligibility and supported tools vary.

Keep your CRM, accounting, payroll and scheduling systems as their approved records. Workspace prepares the analysis, drafts and handoffs around them. Reading live records, sending a proposal or booking work requires the appropriate supported connection and a separate authorized action.

Start with one job, then decide what to repeat

Bring a small permitted packet, request one named deliverable and review a useful revision. New accounts start with $20 in included credits. Clanker-hosted work and active cloud environments use credits at current rates; an external assistant’s subscription and own model use are separate. Record the usage and review effort for your job before expanding it.

For a tested routine, configure a Loop or Schedule separately with current inputs, permitted actions and a review owner. ZDR, data residency and encryption are coming soon. Use today’s published data-handling terms when choosing which client files to supply.

Common questions.

What is an AI back office for a small business?

It is a workspace for the preparation and follow-through behind serving clients: organizing inquiries, drafting proposals, carrying approved scope into delivery and preparing progress updates. Clanker keeps the source files and saved work in Projects, with reusable Agents for the methods you repeat.

Which businesses should consider Clanker for back-office work?

Service businesses, agencies, consultants and owner-led teams with recurring proposals, delivery notes and client reporting are a practical starting point. Choose one job with known inputs and a result you can review. A short one-off draft may already fit your existing assistant.

Does Clanker replace my CRM, accounting or payroll software?

No. Keep those systems as the approved records unless you deliberately choose a different process. Clanker helps prepare drafts, analysis and handoffs from permitted files. Any live system access or change depends on a specifically supported connection, permissions and your approval.

Will it send proposals or book delivery dates automatically?

Preparing a draft does not send it or reserve work. Review prices, scope, terms and dates first. Sending, scheduling or changing a customer record is a separate action through a supported connection; the public starters prepare saved drafts for owner review.

Can I use my existing AI assistant?

Use a supported authorized connection or work directly in Clanker Workspace. Check the client guide, account eligibility and tools needed for your task. Private conversations in another service do not automatically become Project context, and the public examples do not establish live acceptance by a particular client.

How should I budget for an AI back office?

Include Clanker credits or plan allowances, hosted model work, active cloud environments and any external assistant subscription. Test one representative job and record its observed usage and the review it needs. Check current rates before setting up recurring work.

Are ZDR, data residency and encryption available?

ZDR, data residency and encryption are coming soon. Review the current trust center and processing terms for the service you use. External assistants and connected business systems have their own data policies.
