An AI email assistant can do more than shorten a long message. It can help identify the work being requested, find the relevant project context, prepare deliverables, and draft a response. The valuable part is the connection between the inbox and the work that follows it.
Clanker Cloud's business Workspace brings supported email connections, Projects, Agents, and files into the same working environment. Email connections use IMAP and SMTP; your provider may require an app password or administrator setup. Check the supported setup for your mailbox before assuming it can be connected.
Turn the message into a defined job
Suppose a fictional client writes:
Can you get Thursday's launch review ready? Please check the brief, tell us what's missing, and prepare the client update.
There are three outputs here: a readiness check, a missing-input list, and a draft update. Sending the sentence straight to an assistant without the brief would invite guesswork.
Open the relevant Project and identify the current brief and recent notes. Ask the Agent to use those files, extract the requested outputs, and flag any deadline or scope it cannot confirm. Keep unrelated client material out of the working context.
Prepare the files before the reply
For this request, ask for a short update document and an action list. Each action should have a source, an owner if one is stated, and a due date only when confirmed.
The client might have written “Thursday” without specifying a date or time zone. The assistant should preserve that ambiguity until you resolve it. It should also distinguish “the designs are ready for review” from “the designs are approved.” Those phrases can lead to very different promises.
Use the client report guide to establish the report structure, then open the saved files. Check the content rather than relying solely on a message saying the task is complete.
Draft a response from the actual result
Once you have checked the deliverables, request a reply that summarizes what was prepared and what still needs an answer. Tell the assistant not to claim that a document was sent or a milestone completed unless that action actually happened.
A useful instruction is:
Draft a reply to this client using the reviewed update and action list. State what is ready, what we still need, and which date requires confirmation. Do not promise completion of blocked work. Keep this as a draft for my review.
For a first trial, the whole email workflow can also begin with copied, non-sensitive sample text. You can evaluate the drafting method before connecting a mailbox.
Configure sending separately
Clanker Cloud provides controls for automatic replies on connected email channels, including limits on which senders receive them. Begin with auto-reply off while you check the Agent's behavior. Turning it on is a separate operating decision from asking for a draft.
Test ordinary messages, missing context, and requests outside the assistant's role. An email that asks the Agent to ignore its instructions or disclose another client's material should be treated as untrusted input, not new authority.
If you need consistent responses to service questions, the customer reply article explains how to ground answers in an approved knowledge set.
The goal is a shorter path from request to reviewed work: the source message, relevant Project files, useful outputs, and a reply that accurately reflects what is ready.
