AI Operations Assistants: Turn a Business SOP into Repeatable Work

Create an AI operations assistant from a tested business procedure, with defined inputs, useful outputs, exception handling, and review before recurrence.

An AI operations assistant follows a business procedure to prepare a repeatable result. Good first jobs include checking an intake packet, assembling a weekly report, or turning approved notes into a handoff. The procedure needs to explain what happens when an input is missing, not only describe the ideal case.

In Clanker Cloud, you can create a custom Agent with the instructions, Skills, and tools needed for that job. A Project supplies the current working material. A Loop or Schedule can make suitable work recurring after you have tested it.

Choose a procedure with a recognizable finish

Consider a fictional client-onboarding process. The coordinator receives a scope document, contact details, and intake notes. A complete packet contains a project summary, a list of required client inputs, and a draft kickoff agenda.

“Help with onboarding” does not define completion. “Prepare those three items and identify missing source material” does. The result can be reviewed without asking the assistant to decide every aspect of the client relationship.

Use the standard operating procedure template to document inputs, steps, decisions, outputs, and exceptions before translating the process into Agent instructions.

Write the exception that usually causes trouble

The most revealing case is often the one experienced staff handle without thinking. What happens if the contact list names no decision-maker? What if the intake notes ask for work outside the agreed scope?

For this example, the exception rule might be:

If the intake request conflicts with the approved scope, list the difference in “Decisions needed.” Do not silently add the request to the delivery plan. Continue preparing sections that do not depend on that decision.

That rule gives the assistant a useful stopping point without forcing it to abandon all the work. The output should show the unresolved issue and the person or role that needs to answer it, when known.

Give the Agent the method and the Project the facts

Put the reusable onboarding checklist in the Agent's instructions or relevant Skill. Put each client's current scope and intake material in that client's Project.

The knowledge, Skills, and tools guide explains the distinction. Adding a procedure does not connect a service; selecting a tool does not establish that every possible use of it is appropriate. Review the available capabilities for the intended workflow.

Begin with preparing files. Add actions that change connected systems only when the job needs them and the approval behavior is clear.

Test a complete packet and an incomplete one

Use fictional sample inputs with a known expected result. First, check the ordinary case. Then remove a required contact or introduce a scope disagreement.

Record whether the assistant returns the right files, notices the problem, and keeps unaffected work useful. If it guesses a missing answer, clarify the relevant rule and rerun both tests. This guards against repairing one exception while breaking the normal path.

Save the approved example and checklist with the process. A colleague should be able to tell why the result passed without relying on the assistant's own self-assessment.

Schedule the work only when the inputs support it

Use a Schedule for work at set times, or a Loop for a repeated run after a delay. Confirm that the needed sources and tools will be available, define how missing inputs should be reported, and review run history and credit use.

Some steps may still require an online connected computer or a person's decision. A recurring configuration does not remove those dependencies. Keep the first automated job small enough that you can recognize an unexpected result quickly.
