Prepare Sales Pipeline Follow-Ups with AI in Workspace

Turn a sales export and call notes into a follow-up queue in Clanker Workspace. Identify due next steps, draft relevant messages, and keep missing facts visible.

A useful sales follow-up begins with the next step the customer actually discussed. Before writing messages, you need to know which opportunities are waiting, who owns them, and what information would move the conversation forward.

Clanker Workspace can help turn a pipeline snapshot and call notes into a reviewable queue. Keep the sources in a sales Project, ask an Agent to explain its proposed next steps, and save the drafts for the account owner.

Bring the current pipeline and relevant notes

Export the records you need from your CRM or prepare a small table. Include a stable record ID, account, stage, owner, agreed next step, and relevant date. Add call notes separately when the record does not contain the context behind that step.

For example, HubSpot documents exporting current record properties and associations. Contact activities can require a separate export. Check what your actual file contains before asking for a summary of a conversation.

Record the snapshot date. Uploading a CRM export to Workspace does not connect the CRM or refresh the file automatically. A new review needs a current input or a separately configured, verified connection.

Try a four-record review

Use this fictional snapshot, reviewed on 13 October 2026:

id,account,stage,owner,next_step,due_date
S01,Northline,Proposal,Maya,Answer integration question,2026-10-12
S02,Harbor,Evaluation,Ravi,Contact after their review,2026-10-20
S03,Juniper,Won,Maya,Prepare client handover,2026-10-14
S04,Westfield,Discovery,,,

The accompanying fictional note says Northline asked whether a named integration is supported. The approved product FAQ does not answer that question. Harbor requested contact after its review; the Won record belongs in a handover workflow.

Ask:

Review this pipeline as of 13 October 2026. Save sales-follow-ups.md with record ID, source, owner, agreed next step, timing, and missing information. Draft a message only where the sources support its purpose. Keep unsupported product answers unresolved. Preserve the customer's requested timing. Treat Won records as handovers. Do not send messages or update the CRM.

This produces a queue you can inspect before deciding what to do. It should help a salesperson prepare the conversation without inventing its outcome.

Check the next step before the wording

The expected treatment of the sample is:

Record Useful result
S01 Due for owner review; verify the integration answer before promising support.
S02 Retain the 20 October next step rather than proposing immediate contact.
S03 Prepare a handover, with no new sales pitch.
S04 Ask for an owner and next step; the missing date does not prove the deal is overdue.

Open the saved file from Project Files or Space. Check that the IDs and dates survived the transformation. A polished email is still unhelpful if it answers a different question or disregards the customer's timing.

Review draft wording against the call note. Remove unsupported commitments, invented discounts, and claims absent from the product material. A short request for clarification can be more appropriate than a confident answer.

Reuse the preparation method

Save the review criteria in Project instructions or a custom Agent. Keep account facts and current pipeline files in the Project. On a later run, replace the input deliberately and compare the new queue with the earlier one.

For an approved outbound conversation, the Workspace email walkthrough explains the managed mailbox and explicit sending request. Sending needs an actual recipient and reviewed message; preparing this file does not perform that action.

When a sale becomes client work, use the client onboarding article to carry the agreed scope and open questions into delivery.
