The weekly report can stall because the project lead is still chasing updates. One person sends a paragraph, another sends a list of tasks, and a third replies with “same as last week.” Collecting the inputs is its own job, separate from writing the final report.
A managed Clanker Cloud email address can route allowed senders' updates to a hosted Workspace Agent and a Project. Give the Agent a clear collection role: save a dated status note, identify missing facts, and respond to the requester with clarification questions.
Configure collection before summarization
Create a Project for the team or engagement and add a status-reporting procedure. Define the reporting period, expected contributors, and what each update must contain: completed work, ongoing work, blockers, and stated next steps.
Test the Agent in a normal Session first. Its job is to preserve the sender's account, not to infer that unfinished work completed since the previous report.
Useful role instructions include:
Collect updates for the assigned Project.
Save a separate note for each supplied update reference.
Record the stated reporting period, author, and source.
Separate completed work, ongoing work, blockers, and next steps.
Ask the sender about missing owners or unclear dates.
Preserve earlier notes; do not rewrite a shared final report.
Do not email other people or invent absent team updates.
Separate notes make review easier when several updates arrive. A shared document that every request overwrites can hide earlier inputs; do not assume automatic merging or conflict protection.
Create the managed address and sender list
Managed addresses at email.clankercloud.ai are available on Business, Business Pro, and eligible Enterprise accounts, including Unlimited entitlements. Eligible accounts support up to five addresses. These are separate from personal mailboxes connected through Channels.
Use Settings → Email accounts or the Project's Email tab. Select the Project, link the hosted Agent, and save the permitted email senders. Start with a test sender you control and fictional material.
After setup, allowed requests start automatically and the response is emailed when work finishes. There is no confirmation for every incoming message. Review the Agent's tools and the information its automatic reply may contain before enabling team senders.
The address uses configured Project routing; a client name in a message does not automatically select another client's Project. The managed email guide explains that setup.
Send an update with a checkable reference
Try this fictional request from the allowed test sender:
Update reference: Maya-2026-10-16-A
Reporting period: 12–16 October 2026
Project: fictional Cedar launch
Completed: page copy approved on 13 October.
Ongoing: three designs awaiting client review.
Blocker: product photos missing.
Next step: Ravi will confirm the review owner; no date supplied.
Save a status note using the update reference.
Reply with a summary and any question about missing facts.
Do not send a client report or overwrite other status notes.
Inspect the resulting email Session and saved file. The review-owner action has no supplied date, so the Agent should preserve that gap. The designs remain awaiting review. The response should go to the requester without pretending a final team report has been approved.
Each new email thread creates a Session; replies continue that Session. Opening it in Workspace keeps email replies enabled. Sending your first Workspace message permanently converts the thread to a regular Session and stops its email replies.
Prepare the combined report as a separate task
Once updates arrive, ask a reporting Agent in the Project to read the named status notes for the stated period. Identify the expected contributors and require the report to list missing or conflicting updates.
A fictional report with notes from two of three expected contributors should say that one input is missing. It should not reuse last week's note as a current contribution unless you deliberately supply and label it that way.
Use the agency reporting workflow for the combined deliverable. A Schedule can prepare a tested summary at a chosen time, but an email address alone does not create scheduled aggregation or chase absent contributors.
Review the collection process as it grows
Test an incomplete update, a correction in the same thread, and a new thread for the next period. Verify the saved notes, clarification reply, and final report coverage. Do not assume generated files are attached to the email response; check the delivery method you intend to use.
Track missing inputs, corrections, preparation time, and usage. Start through email-triggered Agent work with fictional data. The useful result is a set of traceable updates that makes the project lead's report easier to prepare and verify.
