Prepare a Weekly Small Business Brief from Spreadsheet Exports

Turn dated order and task exports into a checked weekly management brief in Clanker Workspace. Define counts, reconcile totals, and identify missing information.

The owner may have an order export, a task sheet, and several messages about exceptions. What they need on Monday is an account of the work that needs attention: what completed, what remains open, and which inputs are missing. A collection of totals without definitions can make the picture less clear.

Use Clanker Cloud Workspace to bring dated exports into a Project. An Agent can calculate the counts you define, save a reconciliation, and prepare a short management brief grounded in those records.

Define what the snapshot represents

Specify the reporting period, export timestamp, time zone where relevant, and the meaning of each status. Decide whether the file contains all records for the period or only a selected sample. Keep those limits in the report.

Use this fictional order sample for the first trial:

id,status,order_value_gbp,owner
O-101,Completed,120,Maya
O-102,Completed,75,Ravi
O-103,Open,90,
O-104,Completed,40,Maya
O-105,Completed,65,Ravi

Label it as a five-record sample exported for a training exercise. The column represents order value in GBP, not an accounting definition of revenue or cash received. If a real export contains mixed currencies, refunds, or duplicate IDs, define their treatment before asking for a total.

Add a separate task note naming known blockers. A blank owner in the export remains unknown; the Agent should not assign the next item to whichever colleague has fewer rows.

Ask for a brief and its calculations

Start a Session in the Project:

Prepare weekly-business-brief.md from the supplied sample.
State the sample size, source date, and counting rules.
Count Completed and Open records separately.
Sum order_value_gbp for Completed records only.
List open items and missing owners for review.

Save report-calculations.csv with the figures and rules used.
Do not describe this sample as all company activity.
Do not call order value revenue or assume payment received.
Do not change the source records or contact customers.

The saved calculation file helps another colleague check the brief. You can also ask the Agent to report invalid amounts and repeated IDs before calculating a real file.

Reconcile the results against known answers

For this sample, the checks are:

Check Expected result
Records 5
Completed 4
Open 1
Completed order value GBP 300
Missing owners O-103

The completed value excludes O-103's GBP 90. Confirm that the report shows the unit and rule, not just the number 300. It should identify O-103 as an open item with an unknown owner.

Ask for a second run with one invalid amount or repeated ID. The report should identify the issue and explain its treatment. It should not silently replace a blank with zero or count a repeated order twice.

The CSV cleaning guide provides more detailed validation steps. Keep a cleaned copy separate from the original export when corrections are necessary.

Write for the decision the owner needs

A useful brief opens with the period and evidence coverage, then the figures, exceptions, and questions. For the sample, the next question is who owns the open order and what is needed to complete it. A recommendation to hire another person would require evidence this packet does not contain.

Combine additional exports only when their keys, periods, and definitions are compatible. Explain unmatched records and data gaps. A sales snapshot and a task snapshot can inform the same brief without pretending they describe the same population.

Keep the reviewed reports and calculation files in the Project. Compare each new period using current inputs; an uploaded file does not update when its source system changes.

Add recurrence after the manual report is useful

A Schedule can prepare the tested report at a chosen time with a hosted Agent. Identify who supplies each new export, what happens when an input is stale, and when the owner should be notified.

Review the first scheduled output, worker history, and credit usage. A scheduled task is helpful when it produces a report the owner can understand and verify, with missing information made visible.

Start through the reporting flow, supply the fictional sample, and check all five known answers before bringing in an actual business export.
